Scope

This Policy applies to the mobile app, fax sending and receiving features, document handling, purchases, subscriptions, diagnostics, support, and related services for Fax Prime: Send & Receive.

We process information to provide the app. We do not sell personal information, do not use it for targeted advertising, and do not use fax content to build advertising profiles.

Information we collect

Fax content: documents, images, cover page text, attachments, sender details, recipient details, fax numbers, and inbound fax content.
Fax metadata: transmission status, timestamps, page counts, delivery attempts, error messages, and service logs.
Contact details you choose to use: recipient names, phone numbers, fax numbers, and support contact details.
App and device information: app version, device type, operating system version, diagnostics, crash reports, and security logs.
Purchase information: subscription status, product identifiers, transaction identifiers, renewal status, and purchase validation data from Apple or purchase service providers.
Support information: messages, email address, screenshots, logs, and any other information you send when requesting help.

How information is collected

Information is collected when you enter it in the app, select files or contacts, import documents, send or receive faxes, make purchases, contact support, or when the app generates service logs needed to operate and secure the service.

If you grant access to Contacts, Photos, Camera, Files, or similar device features, we use that access only for the action you request. We do not copy your full address book for our own use. Selected contact details may be used only to prepare or send the fax you initiate.

How we use information

to prepare, send, receive, route, store, and display faxes;
to process documents and show fax history, status, and receipts;
to validate purchases, subscriptions, credits, and access to paid features;
to provide support, troubleshoot issues, and respond to requests;
to protect the app, users, recipients, service providers, and networks from abuse, spam, fraud, security incidents, and unlawful activity;
to comply with legal obligations, enforce our Terms, and preserve evidence when required.

Sharing

We share information only as needed to operate, secure, support, and improve the app, or when legally required. Recipients and fax carriers necessarily receive fax content and sender or routing details needed to transmit a fax.

Fax and telecom providers: to transmit, receive, route, and troubleshoot faxes.
Cloud and storage providers: to host documents, metadata, logs, backups, and service infrastructure.
Purchase providers: Apple and purchase validation providers for billing, subscription status, fraud prevention, and entitlement checks.
Diagnostics and support providers: to understand crashes, performance issues, support requests, and service reliability.
Legal and safety disclosures: when required by law, valid legal process, enforcement of our Terms, protection of rights, prevention of abuse, or investigation of unlawful activity.

Service providers are required to protect information in a manner consistent with this Policy and to use it only for the services they provide to us.

Retention and deletion

We keep information for as long as needed to provide the service, maintain fax history, support purchases, secure the app, comply with legal obligations, resolve disputes, and enforce our Terms.

If you delete faxes or documents in the app, we will remove or disable access to them from active service systems where the feature supports it. Some records may remain for a limited time in backups, logs, billing records, abuse-prevention records, or legal-preservation systems.

You can request deletion of personal information by contacting us. We may need to keep certain records where required for security, fraud prevention, accounting, legal compliance, or legitimate dispute handling.

Your choices and rights

You can choose not to grant optional device permissions, though some features may not work without the requested access.
You can delete app data, faxes, or documents where the app provides deletion tools.
You can cancel subscriptions through your Apple account settings.
You can ask to access, correct, export, delete, restrict, or object to certain processing of your personal information.
You can withdraw consent where processing is based on consent, subject to legal or service limits.

California and US state privacy

We do not sell personal information and do not share it for cross-context behavioral advertising. If a US state privacy law gives you specific rights, you may contact us to exercise those rights, including access, deletion, correction, portability, and appeal where applicable.

International transfers

Notera Labs Limited may process information in Cyprus, the United States, and other countries where we or our service providers operate. These countries may have privacy laws different from your location. We use safeguards appropriate to the nature of the information and the services.

Security

We use administrative, technical, and organizational safeguards designed to protect information. No app, network, transmission, or storage system can be guaranteed to be perfectly secure, especially when documents are sent through recipient fax systems and telecom networks outside our control.

Sensitive documents and HIPAA

Faxes may contain sensitive, confidential, medical, legal, financial, or regulated information. Fax Prime: Send & Receive is designed to handle documents with privacy and security in mind, while you remain responsible for deciding whether a fax workflow is appropriate for the information you choose to send.

Fax Prime: Send & Receive is built with privacy and security safeguards informed by HIPAA principles, including secure handling, limited access, and service-provider controls. HIPAA obligations depend on who uses the app and for what purpose.

If you are a covered entity or business associate and your use requires a Business Associate Agreement, you must have a separate written agreement with Notera Labs Limited before using the app for workflows involving protected health information.

Children

The app is not intended for children under 13 and is not directed to children. If you believe a child provided personal information to us, contact us and we will take appropriate steps to delete it.

Changes

We may update this Policy from time to time. The updated version will be effective when posted unless a different date is stated. If our privacy practices materially change, we will update this Policy and any required App Store privacy information.
